Privacy Policy

Information you give us

When you submit an inquiry through our contact form, we collect the information you enter: your name, email address, phone number, tentative event date, event type, and any message you write. Our inquiry form is provided by 17Hats, which stores this information on our behalf in our customer relationship management system.

If you book overnight accommodation, we collect the information needed to hold and service that reservation, including guest names, contact details, arrival and departure dates, and payment information. Reservations are managed through Think Reservations. Payment card details are handled by our payment processor and are not stored by us.

If you email or call us, we keep that correspondence so we can respond and maintain a record of our conversation. Our email is provided by Google Workspace.

Information collected automatically

When you visit this site, certain information is collected automatically by us and by third parties:

• Website analytics. Squarespace, which hosts this site, sets cookies (ss_cvr, ss_cvt) to measure visits and page views. This information is used in aggregate and is not used to identify you personally.
• Advertising and measurement. We use the Meta Pixel, a service provided by Meta Platforms, Inc. It sets a cookie (_fbp) and transmits to Meta the address and title of the pages you view on this site, along with a pixel identifier. Meta may use this to measure our advertising and to show you our ads on Facebook and Instagram.
• Spam prevention. Our inquiry form is protected by Google reCAPTCHA, which collects device and usage information to distinguish people from automated scripts. Google's privacy policy and terms of service apply to that collection.
• Fonts. Our typefaces are served by Adobe Fonts (Typekit), which receives your IP address as part of delivering them.
• Server logs. Squarespace records standard technical information such as IP address, browser type, and the time of your request.

How we use your information

• To prepare proposals, contracts, and invoices
• To plan and deliver your event or stay
• To send you information about our venue if you have asked to hear from us
• To understand how this site is used and improve it
• To meet our legal, tax, and accounting obligations

We do not sell your personal information. We do not share it with third parties for their own independent marketing.

We share information with service providers who help us run the business, only as needed for them to do that work:

• Squarespace, Inc. for website hosting and analytics
• 17Hats for customer relationship management, contracts, and invoicing
• Think Reservations for lodging reservations
• Google LLC for business email and spam prevention
• Meta Platforms, Inc. for advertising measurement
• Adobe Inc. for font delivery
• Our payment processor, accountant, and, where necessary, our attorney
• Vendors working on your event, where you have asked us to coordinate with them

We may also disclose information if required by law, court order, or valid legal process, or where necessary to protect our rights, property, or safety.

Cookies and how to control them

Cookies are small files stored by your browser. This site uses cookies necessary for it to function, cookies that measure how the site is used, and an advertising cookie set by the Meta Pixel described above. You can block or delete cookies through your browser settings. If you block necessary cookies, parts of the site may not work.

Do Not Track

Some browsers can send a "Do Not Track" signal. There is no common industry standard for how websites must respond to that signal, and this site does not currently respond to it. Third parties named in this policy may collect information about your activity over time and across other websites, as described above.

Third-party behavioral tracking

Yes. The Meta Pixel described above allows Meta to collect information about your visit to this site and combine it with information about your activity on Meta's services and on other websites that use its tools. Google reCAPTCHA similarly collects information across sites that use it.

Reviewing and changing your information

You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@waterfallsantacruz.com or call (831) 212-3895. We will respond within a reasonable period. We may need to keep some information to meet legal, tax, or contractual obligations, and we will tell you if that applies.

To stop receiving marketing email from us, use the unsubscribe link in any message or email us directly.

How long we keep it

We keep inquiry information for as long as we are in active conversation with you and for a reasonable period afterward. We keep records relating to booked events and stays for as long as required for our contractual, tax, and legal obligations.

Security

We use reasonable measures to protect the information we hold, including reputable service providers, access controls, and encrypted connections. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Children

This site is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

We may update this policy. When we do, we will change the effective date at the top and post the revised policy on this page. If the changes are material, we will post a clear notice on this page for at least 30 days, and if we have your email address and the change affects information we already hold about you, we will email you.
